Smart Lists: Create, Manage & Filter Your Contacts

Build dynamic, filter-based contact lists that update automatically as contacts meet or leave your criteria.

Smart Lists are one of the most powerful features in Noddle. Instead of manually maintaining a list of contacts, a Smart List automatically stays up to date based on rules you define. Add a tag to a contact, and they appear in the right Smart List instantly.


What Is a Smart List?

A Smart List is a dynamic, filter-based contact list that updates in real time. You define the conditions — Noddle handles the rest.

Examples of Smart Lists you might create:

  • All contacts tagged "Hot Lead"
  • Contacts who opened an email in the last 30 days
  • Customers in a specific city or ZIP code
  • Anyone who hasn't been contacted in over 60 days

Create Your First Smart List

  1. Go to Contacts in the left menu.
  2. Click + Add Smart List near the top of the contact list view.
  3. On the right side, select one or more filters from the dropdown.
  4. Fill in the required details and click Apply.
  5. To stack additional conditions, click AND to add another filter.
  6. When your filters are set, click Create to save.

Your Smart List now appears in the sidebar under Contacts and updates automatically as contacts meet or stop meeting your criteria.


Edit a Smart List

  1. Go to Contacts and click the Smart List name to open it.
  2. On the right side, click Advanced Filters to view current conditions.
  3. Click the pencil icon next to any filter to change it, or the dropdown arrow to remove it.
  4. Click the Save icon to apply your changes.

AND / OR Logic

Smart Lists support both AND and OR logic for building precise or broad segments.

  • AND — Contact must meet all conditions (e.g., tagged "VIP" AND located in Texas)
  • OR — Contact must meet at least one condition (e.g., tagged "Lead" OR tagged "Prospect")

You can combine both in a single Smart List for complex targeting.


Manage All Smart Lists

  1. Go to Contacts → Smart Lists.
  2. Click the three-dot menu near the top of the page.
  3. Select Manage Smart List.
  4. From here you can: duplicate, share with all admins, rename, or delete a list.

By default, Smart Lists are only visible to the user who created them. Use Share with Admins to make a list visible account-wide. Users need "Settings" access to manage Smart Lists — if a team member can't edit one, check their permissions.


Customize Columns

  1. Open a Smart List.
  2. Click the column management option near the top of the table.
  3. Drag and drop columns into your preferred order, or toggle them on/off.
  4. Save the Smart List to preserve your column layout — otherwise it reverts on next load.

Sending Campaigns to a Smart List

When you schedule an email campaign to a Smart List, the list is evaluated at the time of sending — not when you schedule it. Anyone who meets the criteria before send time is included automatically.


Common Questions

Can I manually add a contact to a Smart List? No. Smart Lists are filter-driven. To get a contact into a list, make sure they meet the filter conditions (e.g., add the relevant tag to their profile).

Why use Smart Lists instead of managing contacts manually? They save time, improve targeting, power your automations, and always reflect your real data — no manual upkeep required.
