Managing & Modifying Smart Lists
Edit, organize, share, and fine-tune your Smart Lists with AND/OR logic.
Once you've created Smart Lists, you'll want to know how to edit, organize, and get the most out of them.
Edit a Smart List
- Go to Contacts and click the Smart List name to open it.
- On the right side, click Advanced Filters to view current conditions.
- To change a filter, click the pencil icon next to it, or click the dropdown arrow to remove it.
- Click the Save icon to apply your changes.
Manage All Smart Lists
- Go to Contacts → Smart Lists.
- Click the three-dot (⋮) menu near the top of the page.
- Select Manage Smart List.
- From here you can:
- Duplicate a list (copy icon)
- Share it with all admins in your account (share icon)
- Rename it (pencil icon)
- Delete it (trash icon)
Customize Columns
You can control which columns appear and in what order.
- Open a Smart List.
- Click the column management option near the top of the table.
- Drag and drop columns into your preferred order, or toggle columns on/off.
- Save the Smart List to preserve your column layout — otherwise it reverts to the last saved configuration.
Advanced Filtering: AND/OR Logic
Smart Lists support both AND and OR logic for building precise or broad segments.
- AND: Contact must meet all conditions (e.g., tagged "VIP" AND located in Texas)
- OR: Contact must meet at least one condition (e.g., tagged "Lead" OR tagged "Prospect")
You can combine both in a single Smart List for complex targeting.
Sharing Smart Lists Across Users
By default, Smart Lists are only visible to the user who created them. To make a Smart List visible to all users in your account, use the Share with Admins option in the Manage Smart Lists panel.
⚠️ Users need "Settings" access to manage Smart Lists. If a team member can't edit one, check their permissions.
Common Questions
Can I manually add a contact to a Smart List? No. Smart Lists are filter-driven. To get a contact into a list, make sure they meet the filter conditions (e.g., add the relevant tag to their profile).
Will a scheduled campaign update its recipient list before sending? Yes. Smart Lists are evaluated at send time, so anyone added to the criteria after scheduling will still receive the campaign.
